$78,750 to $87,305 per annum

This position supports the operations of the UPEI Senate and is a main point of contact for the Office of the President playing a key ambassadorial role in representing the office by creating a safe, positive, and welcoming atmosphere while providing information through confidentiality, tact, and diplomacy.

We are seeking an experienced, highly organized, motivated person with positive attitude and excellent communication skills as a Governance Coordinator and Executive Administrative Assistant to support the UPEI Senate and the Office of the President.

RESPONSIBILITIES:

  • Provide a wide range of support to the Secretary of the UPEI Senate including supporting Senate Committees, providing advice to members of Senate and the University community, preparing agendas, minutes and workplans, managing records of Senate and managing Senate and Senate Committee elections.
  • Provide administrative support for activities associated with the Office of the President, including arranging meetings, assisting with logistics for Presidential events, and ensuring the organization and safekeeping of confidential documents.
  • Provide receptionist services in the Office of the President, playing a key ambassadorial role, creating a safe, positive and welcoming environment
  • Provide financial and procurement support for the Office of the President
  • Maintain a high level of confidentiality and discretion
  • Liaise with members of Senate
  • Other projects and duties as required

QUALIFICATIONS:

  • Minimum of two (2) years of specialized post-secondary education/training in a related office studies program
  • Minimum five (5) years previous experience in related work and/or a combination of education and related work experience
  • Comprehensive experience with digital applications including advanced word processing, electronic information systems, spreadsheet, and database applications (e.g. SharePoint)
  • Experience showing the application of: 
    o    Effective written communication skills, including the ability to draft clear, concise, and professional correspondence and reports,
    o    Strong organizational and document management skills
    o    An ability to prioritize, multitask and meet various deadlines, 
    o    Effective communication skills, both orally and in writing, and
    o    Excellent interpersonal and communication skills
  • Familiarity with university structures, governance or processes.
  • Familiarity with university structures, governance or processes.
  • Prior experience in a senior level central administrative unit and/or familiarity with university structures, governance and process would be an asset
  • Must be able to work independently and as a member of a team
